Terms & Conditions & Refund Policy

As the hirer of Henbury Village Hall (HVH), it is your responsibility to ensure the below is adhered to;

  • Max capacity must not exceed 160 people
  • Do not use Sellotape or Blue tac on; windows, walls or paintwork
  • No smoking and or vaping anywhere on site
  • No external electrical or gas cooking/food warming equipment
  • No bouncy castles or smoke machines are permitted
  • No music after 11:00pm
  • No alcohol to be sold on site
  • All fire exits must be always kept clear and accessible
  • Sound level is controlled (as it is a residential area)
  • Function must be cleared up and ready to leave at the stated finish time
  • Do not leave the premises unattended at any time
  • A key holder must be present before you leave the premises
  • All rubbish is in bags and placed in the black bins
  • All recycling (glass, cans\tins, paper & card) is placed in the recycling boxes

Your damage deposit will be forfeited in the event any of the above rules are breached

Indemnity

  • HVH will not accept responsible or liability for any;
    • Damage caused to the property/equipment or furnishings of any 3rd party subcontractor appointed by the hirer
  • HVH will not pay any compensation where the performance of its obligations is prevented including but not limited to;
    • Flood
    • Fire
    • Earthquake
    • Extreme adverse weather
    • Loss or damage to any property (including vehicles) left on site by the hirer; whether hired, lent or gifted
    • Natural disasters
    • Acts of God
    • Acts of terrorism
    • Failure of utility services; Electric, Gas, Water
    • Failure of; Plant machinery or Computers

Cancellation & Refund Policy

Booking Deposit

  • The £50.00 deposit will only be refunded up to 2 calendar weeks before the event date*

Hire Balance

  • The balance of the hire is due 2 calendar weeks before the event date and is NOT refundable unless
    • The hall can be rebooked
    • The cancellation is due to exceptional circumstances**
  • The balance will be held until the date of the event to allow for re-booking;
  • If hall can be re-booked at short notice, the refund will be
    • The difference between your booking and the new booking (if lower)
    • The full amount (if higher)

Damage Deposit

  • The £100.00 damage deposit is refundable unless the deposit is returned with the balance*

* = amount refunded is subject to an admin fee

** = refund is made on a case-by-case basis by the trustees
