Bookings

Bookings should be made via the Henbury Village Hall (HVH) website (www.henburyvillagehall.org/make-booking).  


Booking Deposit

Once a provisional booking has been made, an initial Booking Deposit of £50.00 will be immediately payable to secure the booking. This Deposit will be deducted from the final balance payable.

A payment link will be generated by HVH and sent to the hirer via text or email and must be paid within 7 days. If the deposit is not paid within 7 days, the provisional booking will be cancelled and the Deposit will be non-refundable.

Once the Booking Deposit has been paid, the hirer will receive email notification that the booking has been confirmed.

Balance Payment

The Balance Payment (the Total Hire Fee less Booking Deposit), will be payable not less than 14 days prior to the booking event date. In the event that the final balance remains unpaid less than 14 days before the booking event date, the booking will be cancelled unless mutually agreed otherwise.

A Balance Payment link will be sent to the hirer either via text or email, t allow the hirer to pay the balance by card. BACS, cash or cheque payments can be made by prior arrangement with HVH.

Damage Deposit

In addition to the Balance Payment, a £100.00 Damage Deposit shall also be payable by the hirer. This deposit will be refunded to the hirer within 7 days, assuming there is no damage to the property, contents, or excess cleaning charges.

Cancellation

If a booking is cancelled by the hirer after the Balance Payment has been made, the Hall will re-advertise the date/time as available. If the Hall is re-let, a refund will be offered, up to the total of the rebooked fee. i.e. If a hirer cancels a £400 booking, and HVH is able to re-let the facilities for a £150 booking, HVH will refund the original hirer £150.

The Village Hall will do its utmost to honour all bookings made. If a booking has to be cancelled by the Village Hall for any reason, the liability of the Village Hall shall be limited to refund of the hire charge only. 

Care of the Facilities

Any damage to property and/or contents, will result in an appropriate amount of the Damage Deposit withheld to pay for repairs/replacement.

The facilities must be left in a clean and tidy condition. If not, an appropriate cleaning fee will be charged and deducted from the £100 refundable deposit

A maximum of 4 bags of rubbish to left in the venue bins. All other rubbish to be removed by hirer.
